Job Summary
The clinic assistant supports the daily administrative and operational tasks of a provider’s clinics. Team members at this level perform the core duties of a Medical Secretary, including but not limited to patient check-in and check-out, appointment scheduling, and administrative support for clinical operations.
Essential Functions & Job duties
- Attend department, clinic, in-service and company meetings as required
- Demonstrate sound judgment by taking appropriate actions regarding questionable findings or concerns
- Consistently work in a positive and cooperative manner with fellow staff members.
- Consistently respond to changing situations in a flexible manner to meet current needs, such as reprioritizing work as necessary.
- Demonstrate knowledge and understanding of all company policies and procedures.
- Make appropriate decisions for the well-being of our patients and company.
- Comply with HIPAA confidentiality standards when accessing or communicating patient information.
- Follow infection control and clinic safety procedures in alignment with OSHA standards.
- Prepare exam rooms and maintain cleanliness, assisting with maintaining stock of medical supplies and patient education materials.
- Greet patients and visitors politely in a prompt and helpful manner.
- Escort patients to exam rooms and complete the intake of patient’s chief complaint and pertinent health history.
- Accurately document patient information and orders in the electronic medical record under the direction of the provider.
- Check the patient out after their appointment including scheduling follow up appointments, printing instructions and educational materials, and other printed information as needed. Answer patient questions and ensure all needs are addressed prior to departure.
- Schedule appointments and respond to patient inquiries in person, over the phone, or via the patient portal.
- Triage patient messages, responding to routine inquiries or routing to appropriate staff.
- Follow up on provider requests such as prescription refills and referrals, ensuring timely documentation and communication with patients and staff on these matters.
- Provide support to other staff by assisting with coordination between providers, surgical facilities and other departments, also following up on pretesting, clearance and other missing paperwork as needed.
- Review and update current information on Physician's schedules ensuring that patients are scheduled properly.
- Other duties as assigned.
- Level of Clinic Assistant also depends on the level of proficiency
Skills and Abilities
- Ability to communicate clearly in person and on the phone and to establish/maintain cooperative relationships with patients, families, physicians, staff members and other customers.
- Ability to organize and prioritize tasks effectively.
- Navigate and comprehend computer software systems in office setting, prefer typing speed of 50 wpm.
- Able to use correct grammar, spelling and punctuation.
- Must be able to work independently or collaborate with a team when necessary
- Must be able to work unsupervised
- Prefer knowledge of medical terminology or willing to complete medical terminology training.
- Level of Clinic Assistant also depends on the level of proficiency
Physical and Mental Demands
- Able to sit and work in front of a computer for extended periods of time.
- Work may require hand dexterity for use of telephone, keyboard, fax machines, copy machines.
- Able to handle difficult situations related to patients being in pain or feeling impatient to see a doctor in an educated and professional manner.
- Work requires the ability to walk, sit, stand, use hands and fingers, reach with hands and arms, stoop, kneel or crouch.
- Able to speak clearly so patients can understand.
- Able to lift 30 lbs. in some cases, with the help of more team members, may need to help lift a patient in need.
Working Conditions
- Able to work in an environment exposed to communicable diseases or infections while interacting with patients.
- Needs to be able to work as part of a team.
- Able to work in fast-paced clinics.
- Standing or sitting for up to 8 or more hours/day while multitasking.
- Perform duties requiring moderate speed and high degree of accuracy.
- Reliable transportation to go to different SBO locations.
Standard Qualifications
Education: High School Diploma or equivalent.
Experience: Minimum of two years’ office experience, preferably in a clinical setting using medical software.
