Our client, an investment management firm is seeking an Administrative Executive Assistant to support the CEO and other administrative activities at the firm.

Location: Midtown - Fully onsite

Hours: 9am-5pm

Degree Required: Required

Salary: $85k-$110k base DOE plus bonus eligible plus benefits and 20 days of paid vacation .

Responsibilities

Working closely day-to-day with the CEO, as his executive administrative assistant, covering the usual and customary aspects of the position, including:

  • travel planning;
  • scheduling meetings;
  • helping with written correspondence, monitoring emails;

Supporting and backing up the Office

Manager/Executive Assistant to Chairman/Receptionist, especially when she’s out of the office, including the following tasks she otherwise regularly covers:

  • Sitting at reception desk: field incoming calls, greet clients and visitors, escort to conference rooms
  • Checking conference room reservations daily and entering outside guests or clients on building’s portal;
  • Misc Conference room attention – reservations/scheduling; meeting set ups and clear out/straighten out
  • Handle all breakfast and lunch catering orders
  • Delivering mail to addressees
  • Break room oversight to include checking and replenishing fruit and beverages and end of day dishwasher run
  • Working with head of technology and landlord, regarding building/space/technology problems
  • Supporting client team marketing needs (i.e. binding presentations, quarterly mailings);
  • Supporting the Chairman, including coordinating his paper calendar, handling calls, assisting with wire transfers, monitoring/assisting with emails.

Supporting the administrative needs of the Analysts and Client Team, including: Help in booking travel, as needed; Help in using the Concur travel expense app.

Requirements

  • Facility in Microsoft Word (required) and Power Point (preferable)
  • 2+ years of administrative experience
